Booking Conditions

Terms of Service & Travel Agreement

1. The Contract & Booking

To secure a booking, the client must submit a completed booking form and pay the required non-refundable deposit (typically 30% of the total tour cost, unless stated otherwise). A binding contract between Wayvoya and the client comes into existence only when we issue a formal written or email Booking Confirmation.

2. Payment Policy

The balance of all monies due must be paid to Wayvoya no later than 30 days prior to the departure date. If Wayvoya does not receive the full balance by the due date, we reserve the right to treat the booking as cancelled by the client.

3. Cancellation by the Client

Any cancellation by a client must be made in writing (via email or registered post) and will be effective from the date it is received by Wayvoya. The following cancellation charges will apply per person:

  • 30 days or more prior to departure: Full refund of the deposit.
  • 10 to 29 days prior to departure: 20% of the total tour cost.
  • 9 days or less prior to departure / No Show: 100% of the total tour cost.

4. Alterations and Cancellation by Wayvoya

Wayvoya will make every effort to ensure all tours operate as advertised, but we reserve the right to modify itineraries, accommodation, or transportation arrangements due to local conditions or unforeseen circumstances. In the event that Wayvoya cancels a tour for reasons other than force majeure, a full refund of all monies paid will be issued. Wayvoya is not responsible for any incidental expenses, such as non-refundable international flight costs.

5. Force Majeure

Wayvoya shall not be liable or pay compensation for any loss, damage, or delay caused by events beyond our control, including but not limited to war, threat of war, civil strife, government intervention, natural disasters, severe weather conditions, strikes, fire, or widespread epidemic/pandemic outbreaks.

6. Travel Insurance

Comprehensive travel insurance is mandatory for all travelers booking a journey with Wayvoya. Your insurance policy must cover personal accident, medical expenses, emergency repatriation, trip cancellation, and loss of personal baggage or money.

7. Passports, Visas, and Health

It is the responsibility of the client to ensure they possess a valid passport (with at least 6 months validity remaining from the date of entry) and all necessary visas and permits required for the duration of the journey. Clients must also ensure they meet all health and vaccination requirements prescribed by the destination country.

8. Limitation of Liability

We are responsible for any injury, damage, loss, accident, delay, or inconvenience caused by defects in any vehicle or through the acts or defaults of any company or individual engaged in conveying passengers or arranging the itinerary.

9. Complaints & Governing Law

If a client has a complaint during the tour, they must immediately inform the local guide or tour leader so that steps can be taken to resolve the issue on the spot. This contract, including all matters arising from it, shall be governed by and construed in accordance with the applicable laws, and any disputes shall be subject to the exclusive jurisdiction of the designated courts.
